Online Check-In for Hotels: How to Run It on WhatsApp Before Arrival

What to ask, when, and how so guests walk to their room instead of into a front-desk queue.

Why arrival is where things jam

At a boutique hotel, arrivals tend to bunch up in the afternoon. If every guest fills in a form at the desk, has a document copied and confirms details already given at booking, a queue forms and the first impression of the stay is a wait. Online check-in moves that work to before arrival: the guest does it from their phone and reception only validates.

What to ask for (and what not) before arrival

Ask only for what you need to operate and to comply with your country's authority:

  • ID or passport of each adult guest and contact details.
  • Estimated arrival time and whether they need a transfer.
  • Outstanding balance or deposit, if your policy requires it.
  • Useful preferences (pillow, allergies, celebration), optional.

Handle all personal data under your country's data protection law: tell guests what you use it for and store it only where needed. If you operate in Colombia, see also our guide to TRA and SIRE.

When, and on which channel, to write

WhatsApp is where the guest is already talking to you, so nothing needs installing. A reasonable order: confirmation at booking; a message with the check-in link or steps a few days before; a short reminder the day before if something is missing; and a notice to your team when the guest finishes. Keep each message short with a single action. If check-in is manual today, start with the minimum: ask for the document and arrival time in that same chat.

Validate, collect payment and leave exceptions to a person

Online check-in without validation just moves the mess. Cross-check what the guest says against the booking (names, dates, number of guests) and make sure the document is legible. Define which cases go to a person: mismatched names, minors without documented guardians, very late arrivals or rate changes. And if you collect the balance before arrival, record it in the PMS so reception does not ask again.

How an AI agent does it

According to xcale.app, the Front Desk agent sends online check-in over WhatsApp before arrival: the guest scans their document and confirms their details in two minutes; the agent validates them against the booking, files the guest registration with the immigration authority (SIRE in Colombia, SES.Hospedajes in Spain), collects the balance, offers the transfer and tells your team the arrival time. Results depend on your hotel, your market and your dates. To see how it connects to the enquiry stage, read hotel enquiry response time.

Frequently asked questions

Does online check-in replace reception?

No. It removes repetitive work (forms and document copying) and leaves validation, exceptions and the welcome to reception.

What data should I ask for before arrival?

ID for each adult, contact details, estimated arrival time and, if applicable, the outstanding balance. Ask only what you need and handle data under your country's law.
